Blocking or deleting members

Why can’t people just be nice?! You will keep these yearbooks forever (we hope 😀 ) and you don’t want to be reading some clever clog’s smart comments in 30 years time – it’s not going to make you remember them fondly.

There are a few options for how to control troublesome members, if it’s just their own profile that they’ve been messing around with the easiest way to deal with it is just to remove their profile from the group it’s in which means it won’t be visible in the book.  This is easily reversed, but remember it doesn’t remove any suggestions they’ve made, photos they’ve uploaded etc – it just hides their profile.

Block only: Next would be to block them from accessing the book and to speak to them to find out what’s going on – you can undo the block quickly if you find out that their account got hacked, or it was a friend being ‘helpful’.  If you delete them without even speaking to them they’re likely to be a bit annoyed!  If you choose to ‘block only‘ and the member is currently online, they will be logged out of the book immediately. They won’t be able to log back in, or use the forgotten password feature until they are unblocked.  All of their content (profile answers, profile photos, and collage photos) will remain in the book, so make sure you’ve edited out anything rude/offensive (  If they try to log back in to the book, or rejoin with the same email address, they will be informed that they have been blocked.

Block and delete: The final course of action would be to block and delete them. If you decide that you need to ‘block and delete‘ the member, they will be logged out of the book immediately if they are online and all of their content will be deleted from the book, including their complete profile and any photos they have uploaded to collage folders.  Please note: You cannot undo this!

A deleted member can’t log back into the book or rejoin with the email address you deleted.  If they try, they will be informed that they have been blocked.

Editing inappropriate or offensive content

You might find that some of your members aren’t interested in writing anything serious in the yearbook – in most cases this is fine – it’s not a piece of coursework, after all!  But do remember that the book is being printed bearing the school’s name, and that what one person finds funny might really upset someone else.

Before we print your book we’ll ask you (and a member of staff at the school) to proofread it.  If there’s too much swearing, inappropriate photos or any rude or offensive comments I’d suggest you take them out.  We reserve the right to refuse to print books that contain offensive or inappropriate material but the responsibility for finding and checking this lies with you – here’s how to change any entries that need it:

Click the person’s name on the members tab.  Click ‘Edit members’ answer‘ button (see red arrow) or the ‘Change pic’ button to replace a dodgy photo.

edit inappropriate content

You can also snap between a person’s profile and their preview in the Book tab.  If you’re looking at the Book tab preview and you see a profile you want to change, simply click on the person’s profile.  When you’ve finished editing and have saved, click ‘view profile in book’ to snap back to your place in the Book tab.

Once you’ve changed your answers, be sure to save them and update the book in the Book tab.  Remember your teacher is unlikely to let the book go to print filled with obscenities and please think about how things will read to people that don’t know you!

Bear in mind that if your members are still logging in, they might change their answers back – if you find this happens often, or the same people are repeatedly causing trouble you can block or delete them – see for how to do this 🙂

Help! I forgot my login details!

If it’s your password you’ve forgotten, you can request a reset email be sent to you.  Go to our website and click the green ‘log in or join book’ button in the top right of the screen. Now just click the ‘forgot password?‘ link.

forgot password link

You will be prompted to enter your email address then you need to hit the ‘Send forgotten password email’ button 🙂

But I’ve forgotten my email address too!

How did you manage that?! 😀 Get in touch with us – email or call the office on 01223 503259.  We can’t make any promises to let you straight back in, for security reasons we need to be 100% sure it’s you, not someone else trying to gain access to your account.

Profile question ideas

Need some inspiration for your profile questions?

If you want to give your members free reign, you can set up one general question, such as ‘about me’, or ‘leavers comment’.

Sometimes we find that people aren’t too sure what to write without a few clues – if your book is slow getting off the ground this may be why.  Have a look below for some sample questions:

Message to your future self

Favourite memory from school

Favourite teacher

Favourite lesson

My confession…

If I was a superhero I’d be

In 10 years time I’ll be…

If I could spend the day as another student I’d be…

3 words that best describe me are…

My hero is…

If I was invisible for 24 hours I would…

Where are you going next?

Proudest moment

Biggest achievement

I’d like to thank…

What is the meaning of life?

Favourite quote

I’ll never forget the time…

Any last words?

Most embarrassing moment

Favourite teacher quote

Most likely to say/do…

Best kept secret

Stupidest in joke

Secret crush

Favourite song

What will you miss most?

Does a teacher have to be involved?

The short answer is yes! Even if they are happy for you to make the books entirely by yourselves, we do need a member of staff (usually your Head of Year or Headteacher) to let us know they are happy for you to do this.  We would ask you to get us a name and email address for them, and we’ll get in touch to offer them one of the following options:

  • to be involved throughout the process;
  • to authorise a named student to proofread and confirm the book on behalf of the school;
  • To become involved in the process once the book is at proof reading stage; or
  • school is completely uninvolved in the process (if they pick this option they might want to ask you not to use the logo, pictures of the school, teachers names etc)

As the book goes out bearing the school’s name, it’s far better to get a member of staff on board and make sure they’re happy with it – making a few changes for them before the book goes to print could save a lot of work later on, and possibly a costly reprint!

Inviting or adding members

Now that you’re past the initial set up (adding profile questions, groups, photo labels and awards) it’s time to get members involved.

Invite members: If you want the yeargroup to log in and add their own content. We recommend this option, as it’s a really quick and easy way to collect photos and text.

Add members manually: If you want to add content on behalf of members, and they won’t be logging in. Useful for younger yeargroups.

Share and edit your invitation code, and invite friends via Facebook too.

You can manage members in the  “Members & groups” tab, and you can promote members to editors if you need to.

Adding profile questions, groups, labels and awards

So! Time to get started 🙂

Whether you are inviting your yeargroup to log in and add content, or if you are adding everything on their behalf, it’s a good idea to set a few things up first. Once you have added these, you will be ready to create profile pages.

  • Adding profile questions: Think about how to best represent the fun your yeargroup has had. Ask many individual individual questions (e.g. In Year 7 I was…) or a general question (About me, or Message to the year).
  • Adding profile groups: Add individual form/house groups or one group for the entire year. Add separate profile groups for teachers/staff members.
  • Adding photo labels: Organise your photos with labels. Members can apply the labels to photos they upload, and editors can use labels to filter search results when adding photos to pages.
  • Adding awards: Add award categories and choose from having all members as nominees, or adding a custom list. Members can vote online.

You can add/edit all of the above information from the “Design & manage yearbook” tab.
